The challenge

On a job site the money leaks in three places at once: receipts in a glovebox, hours agreed over text, and a budget nobody has opened since the quote went out. The overrun is real long before anyone can see it, and by the time the numbers are added up the job is finished and the margin is gone. Kiolfast set out to close that gap — to make the running cost of a job visible while there is still time to do something about it.

One owner, one team, one system

An owner creates the project and decides how many people can join. Everyone else downloads the app and enters a secure access code — no accounts to provision, no invitations to chase, no one left working from a copy. From that point the owner, the managers and the workers are all inside the same project, looking at the same numbers.

Receipts and hours, captured on site

Receipts are photographed and uploaded as they happen, shared with the team and attached to the right project automatically, so the whole trail stays centralised and searchable. Workers clock in and out in the app; hours are tied to the person and the job, and labour cost recalculates itself. No manual timesheets, and nothing that depends on someone remembering a number at the end of the week.

Budget in real time

Every project carries a budget, and every approved receipt and hour moves against it the moment it lands. Job cards show percent-used bars that shift from green through amber as the number climbs, and job detail breaks the spend into labour and materials against remaining budget. Entries and receipts land in a pending queue for review first, so the owner approves what counts before it moves the total.

Reports and exports

Visual reports cover cost, budget and performance — spend broken down by expense type, cost compared across jobs — in graphs that answer the question at a glance rather than after a spreadsheet session. When the numbers need to leave the app for an accountant or a client, the whole project exports to Excel.

Engineering

Applefy built the native iOS app, the Android client and the backend API underneath both — the shared project model, the access-code join flow, receipt storage, and the cost calculations that have to agree on every device at once. The iOS app runs on iPhone and iPad from iOS 15 up, and on Apple silicon Macs and Vision Pro through iPad compatibility.
